The Jegas Timecard Xpress installation is fairly straight forward, however if you do not set up your initial configuration file and database, managing your data can be quite confusing. For this reason, we have made a video available that walks you through the installation process. Please Note: In order to install JTCX, you must be logged into an account with administration rights.

License Activation
JTCX v1.x and other Jegas products have a license registration system that allows you to move your licenses around without needing to contact us directly.
Our system works by first telling you if your registration code looks valid, and then when you tell the system to enable your registration code, it will do so by contacting our servers. Likewise you can disable your licenses in the same manner. The only time you will have an issue typically with our systems is when you do not in fact have a registration code or your registration code is already activated.
One example where you might run into a problem is if you had Jegas Timecard Xpress installed and the license activated and you then formatted your harddrive. When you try to register your license code again, our systems will have a record that your license is already activated. In this scenario, you will need to contact Jegas, LLC so we can reset your license: note for our own protection we reserve the right to only do this step at our own discretion. It's important to understand how you can, yourself, de-activate and re-activate your licenses to prevent any problems. In short, when someone habitually has this same problem, it makes us get suspicious and wonderif this tactic is being used to get instances of JTCX running that were not paid for.

The Clock-In Tab
The first time you use this program, there will be no choices to pick from any pull down menu combo box such as the “bill to”, “Worker”, “Client” Etc. You have to fill them in yourself but the program will, “remember” what you have used in the past and will then be in the corresponding pull down combo box.. Also, when you type in something for the “Bill To” box, the rest of the boxes will only correspond to what you first typed in and so on.

In order to clock in you need to enter data in the following fields:
•
Bill To: Type in the name of the company, client or boss of the person for whom you are doing work for.
•
Worker: Type your name. From an administrators point of view, you can enter in another employee's time. Ex. Employee gives you a paper time card and you want it in the system for correct accounting. Note:JTCX does try to automatically fill in this field based on your user login in windows. So if your username is flowers because your using your wifes PC, and you forget... you might end up with "flowers" in your "work Name" field when you turn in your hours. (Watch for that
)
•
Project: Type in the name of the current project that you are clocking in for.
•
Task: Type in what it is that you are doing for the project.
•
Reference: You can put what you like here. At Jegas, LLC we enter the person who gave us the task we are performing so we have a record of accountability. "Who authorized this work?"
... "Why, you did sir."
•
Payrate: Type in the pay rate per hour for the type of duties you will be performing so that your pay accurately reflects what it is that you have done when you run queries and reports in the history tab.
Once all information is filled out correctly, the “Clock In” button on the upper left hand corner will turn green and you will be able to clock in for that particular job.

To clock out of a job, simply click the “Clock Out” button on the left. Timecard Xpress will remember when you last clocked out so if you leave that particular project for lunch you can click “Resume Last” and Timecard Xpress will pick right back up from where you started from without having to re-type everything back in. However; If you have to clock into a different job you can just simply fill out the information and click “Clock In” and Timecard Xpress will automatically clock you out of one job and right into the next at the same instant to keep the clock continuous.

Manual Entry Button: This button is used when an employee misses or forgets to clock into a job. On the right side under “Manual Entry Fields”, you will see Date, Hours, and Minutes.

Date: Fill in the date in which you will be manually entering hours for.
•
Hours: Enter in the amount of hours you worked.
•
Minutes: Enter the amount of minutes you worked. Ex. If you worked for 1.5 hrs on a project that you forgot to clock in on, you would click “Manual Entry” under “Hours” you type in 1 and under “Minutes”, you would click 30.
•
Note about the minute field: The Minutes Field has one other “job”, If you enter in an expense, “Minutes”, serves as a quantity. E. q.: . You buy a plane ticket for a round trip flight from Maryland to Oklahoma for a business meeting, in the “Minutes” field you would type 1 and under notes you would enter the reason and you would enter the cost of the flight in the "minutes" area.

In this tab, once you are clocked in, all the information you put into the clock in tab will be shown here.
But with this tab, you can make note changes and update your notes accordingly. Type in your updated note and click “Update Notes” to commit them.
History Tab - Registered Users Only
The JTCX History tab has the most functionality of all the tabs. There is reporting, editing, deleting, resuming and even some advanced sorting, grouping, and selecting of records not to mention mass-editing features that are both powerful and potentially dangerous.
For this reason, we have made a lengthy video in an effort to introduce you to the various parts of the powerful history tab.

In this tab, you can search and view the history of a particular clock in or out time. Searching through this window is categorized by each field you enter. Ex. Click on “Bill To” drop down box and you can click on any one of the items in that box and search the history for any time card “punch” that has the same item in that field. This allows you to view and itemize your workload. Also, in the “Start Date”, End Date” boxes you can click to the right of them to open up a calendar to view time sheets from a specific day, week, month, year, etc.
You can filter your queries - even certain check box fields: by left clicking you can select the filter value you are seeking (checked or not checked) and you can right click the checkboxes to disable them (they will turn gray).

This tab is actually very powerful. You can save queries for example for later retrieval.

You can even change the order of the columns for the history tab and/or show/hide columns via the Tools->Options menu.

Importing and Exporting Jegas Timecard XPress Data (XML format) - Registered users only
JTCX (Jegas Timecard Xpress) has both import and export functionality and there is a system in place that allows multiple users to merge their individual time records into one database without fear of overwriting others entries. This is accomplished with a truly global unique record identifier column.

In addition to just importing and exporting time extries and expenses, JTCX allows you to export the "recent lists" so you can for example set an employee with projects and tasks you wish to delegate, and you can then export your recent lists and email them. You employee could import your recent lists and record their time directly to the same entries you provided.
